About the role:

We have an exciting opportunity within the People T eam at Mindshare Worldwide to provide first line advisory support and administrative support for our overall People function . We are looking for an accomplished administrator, looking to expand into a n a dvisory role. The People T eam is comprised of 7 members of staff covering all aspects of HR including employee relations, recruitment, training, development, compensation and benefits. Together, we deliver a comprehensive and generalist service to approx. 4 50 members of permanent staff and freelancers . The People Assistant has the opportunity to play an active role in the wider People function and generate ideas and contribute to wider projects.

W hat will I spend my time doing?

You will be supporting our People Business Partners , assisting with the following tasks :

Starters, Leavers and changes:

  • Carry out Inductions with new joiners and exit interviews with leavers
  • Working with Comp & Bens team to ensure monthly payroll paperwork is collated and processed accurately
  • Providing support for visa applications and visa audits by checking all visa records are correct and up to date
  • Managing relocations for internal transfers

ER Processes:

  • Provide first line advice on all Mindshare policies and terms and conditions to client groups
  • M anage the probation period administration, ensure timely notification to managers of impending deadlines, highlighting any issues on returned documentation. Ensure employees receive written confirmation of the outcome
  • Undertake simple ER processes such as disciplinary investigation, probation extensions and sickness absence
  • Note taking for formal ER meetings such as Investigation meetings
  • Provide advice on Company policies and procedures where appropriate, escalating any issues immediately

Early Career Programmes /Resourcing :

  • Work with hiring managers on contractor requests
  • Work with hiring managers to review job specs, advertisement, and process
  • Manage junior offers
  • Manage entry level talent programmes including interns, apprentices, and work experience placements

HR Projects

  • Contribution to the generation of ideas and assist the wider HR team in the delivery of HR projects and initiatives across the Company

Learning & Development:

  • Support with our training program me design and collate and analyse feedback
  • Oversee Company Induction for all new starters on a quarterly basis
  • Support with queries relating to training
  • Manage relationships with our external training providers

People Dat a:

  • Work with People Business Partners to create regular reporting on people metrics
  • Responsible for the accurate inputting and reporting of Jobvite data (recruitment portal)
  • Diversity and Inclusion Reporting, including Ethnicity Reports , Gender Pay Gap reporting for the People Business Partners and m onthly Corporate Social Responsibility reporting for Finance team

We are on the hunt for someone who has the following qualities :

  • Experience within a HR environment with a desire and passion to pursue a career in HR
  • An accomplished Administrator
  • Excellent attention to detail
  • High level of proficiency in Microsoft Office suite of programs with intermediate to advanced level Excel skills.
  • Ability to deal effectively with change and ambiguity
  • Confidence in building relationships with all levels of staff
  • Excellent written and oral communication skills
  • Driven to achieve results and takes accountability
  • Shows initiative and a 'can-do' attitude
  • Works collaboratively - recognises the value and responsibility of working in a team and seeks to maintain and build effective relationships both internally and externally
