ABOUT THE ROLE

Ogilvy is seeking an enthusiastic and results driven individual to jump on as our Team Assistant in our successful and fast paced PR and Health agency. The role will be based at our inner-city Sydney office.

Your day will be full of variety. The tasks will include (though not limited to):
  • Finance: Ensuring the company is SOX compliant. Other duties include AMEX reconciliation, raising Purchase Orders, liaising with suppliers and the finance team, maintaining budgets, approving invoices etc
  • Travel: Sourcing and booking of travel via our online portal
  • Meeting organisation: Preparing agendas, compiling presentations, taking minutes, following up on actions and co-ordinating the team
  • Reporting: Collating monthly reports
  • Event Management: Client events and internal team socials including VIP guest schedules
  • Building maintenance: First point of contact for all building related matters including liaising with the IT department and the facilities manager to ensure the smooth running of the office
  • HR: Working with the HR team with setting up new starters, and leaver and organising team celebrations (birthdays and anniversaries)
  • Internal Communications: Maintenance of the company's intranet / Sharepoint / Teams page
  • General ad hoc duties as required

ABOUT YOU

In order to be successful for this opportunity you will need to be able to show initiative, common sense, and be proactive, with the ability to prioritise a changeable workload that can be fast-paced and busy.

We are looking for someone who will assist in creating a positive organisational culture through being proactive, professional and approachable.

In addition to the above, you will also have:
  • 1+ years experience working in an office administration position
  • Exceptional interpersonal and communication skills
  • The ability to balance multiple tasks
  • Strong organisational skills and the ability to meet deadlines
  • Excellent attention to detail, particularly any administrative tasks
  • A positive work ethic and strong team focus
  • Be willing to problem-solve and deal with all enquiries from clients and other stakeholders
  • Empathetic and willing to go the extra mile for the clients and our team
  • Exhibit strong problem solving and time management skills.
  • Works well in a fast-paced environment and demonstrated flexibility
  • Advanced knowledge of Microsoft Office Package, particularly Outlook, Word, PowerPoint, Excel and Sharepoint / Teams
  • Skilled at preparing and facilitating and minute recording of all meetings, including Zoom and Microsoft Teams
